Some customers ask how product data is “encoded” into a barcode or whether barcodes need to be registered on a global database. To clarify:
- There is no information inside the bars other than the number itself.
- No centralised database exists for barcodes.
The black-and-white bars simply represent the sequence of numbers printed below. When scanned, the barcode’s number is instantly recognised by a store’s point-of-sale (POS) system, replacing the need for manual input. If the number matches an entry in the store’s system, it will display product details like price, name, and size.
How Barcodes Work in the Supply Chain
Barcodes are globally unique numbers assigned to products by the manufacturer or product owner. Here’s the process:
- Assigning a Barcode: You assign a unique barcode to each product and incorporate it into the product’s artwork or label.
- Retailer Systems: When a retailer accepts your product, they add the barcode and product details (price, name, etc.) to their sales and inventory system.
- Avoid Duplication: If you purchase a block of barcodes, keep a record of which barcode is assigned to which product to avoid duplication.
Important Notes:
- No Centralised Registration: There isn’t a global system that automatically makes your product details appear in all stores. Even GS1’s registry (GEPIR/Verified by GS1) is not integrated with store systems.
- Retailer-Specific Entry: Each retailer or distributor enters your barcode and product details into their system when your product is introduced.
Providing Product Information to Retailers
When supplying your product and barcode information, you may need to:
- Submit an Excel Sheet listing your barcodes and associated product details, such as price, company, and reorder codes.
- Fill Out Vendor Forms required by the retailer to link your barcode to your product details.
This allows the retailer to integrate your product into their system for scanning and inventory tracking.
E-Commerce Platforms
For platforms like Amazon or eBay, enter your barcode number in the Product ID field when creating a product listing.
Smartphone Barcode Apps
To make your barcode scannable by smartphone apps:
- Register your barcode and product information with a company that maintains a database subscribed to by app developers.
- Increase online visibility by listing your product with free sites like GTIN Lookup or platforms such as Amazon, eBay, and Google Merchant Centre.
